How to Export your Submissions

Getting your data out of the platform is quick and simple. Here's a step by step guide on how to export data.

Exporting your submissions provides a convenient way to access your data outside the system. Exporting data is a valuable way to analyse, share, and back up your submission information outside the platform.

Please note only users with Admin permission levels will be able to generate and download reports.

Step 1: Access the Submissions Page

Head to the main submissions page where all your submission data is displayed.

Step 2: Apply Filters

Use the available filters to drill down into the specific submissions you want to export. For example, you might want to:

  • View only submissions received in the last month

  • Filter by status or stage

  • Filter by project

Step 3: Export Your Data

After applying your desired filters:

  1. Click the "More" button located in the page interface

  2. Select "Export Query" from the dropdown menu

  3. The system will begin generating a CSV spreadsheet of your filtered submissions

Step 4: Download Your Export

Once your export is ready:

  1. You'll receive a notification in your notification center

  2. Follow the notification to download the CSV file to your device

3. You will also receive an email with a link to download.

Using Your Exported Data

The exported CSV can be opened in various applications like:

  • Microsoft Excel

  • Google Sheets

  • Database management systems

  • Reporting tools

This allows you to perform additional analysis, create custom reports, or import the data into other systems as needed.

Tips for Using the Generate Report Feature

Filter First: Apply relevant filters before generating a report to ensure your exported data contains only the information you need.

Check Your CSV File: After exporting, review the file to ensure it includes all desired data. Adjust your filters if needed and export again.

Use Column Headers: The CSV file will include all the form field data.

Secure Your Data: If the report contains sensitive information, ensure you store it securely and share it only with authorised individuals.

Is there a limit to the number of submissions I can export?

The export will include all submissions visible in the current filtered view. For very large datasets, exporting may take longer, and file size limitations may apply.
