Customising the stages of a submission process allows you to better represent the journey a submission takes, from start to completion. These stages are visualised in the Kanban board under the Stages section, providing a clear and organised overview. Follow these steps to create and manage customised stages:
How to Create Customised Stages
Step 1: Access the Stages Section
Navigate to the Projects in your Organisation Settings or dashboard.
Select the desired project.
Click on the Stages section.
Step 2: Add a New Stage
Click on the Add Stage button.
Enter a name for the stage. Examples include:
"Shortlisted"
"In Review"
"Rejected"
Save the new stage.
Step 3: Link the Stage to a Status
Once the stage is created, assign it to one of the following statuses:
New: The starting point for all submissions.
In Progress: For submissions actively being reviewed or worked on.
Rejected: For submissions that did not meet criteria.
Completed: The final status for successful submissions.
Ensure each stage is appropriately linked to the status that reflects its role in the submission journey.
Step 4: Organise the Stages
Drag and drop the stages into the desired vertical order.
The order you set here will be reflected horizontally in the Kanban board (left to right).
Adjust as needed to ensure the workflow is clear and logical.
Step 5: Toggle Stage visibility
You can select whether you want the stage to appear on the Stages Kanban board. For example, you might want to to use this board to just see those submissions In Progress and therefore remove the New stage from being visible.
Final Notes
Starting and Ending Stages: All submissions begin in the New status and end in the Completed status.
Customisation: You can create as many stages as necessary to fit your workflow and rename them at any time.
