How to Set the Owner of Several Submissions at Once

Make one team member the owner of a batch of submissions, from the submissions list or for a whole stage on the Stages board.

Written by Oz Osbaldeston

To make one team member the owner of many submissions, tick them in the submissions list and choose With selected → Set owner. To do a whole stage, open the stage's three-dot menu on the Stages board and choose Set owner. Each new owner is notified.

When is setting owners in bulk useful?

  • Starting a new round of work on a batch of submissions

  • Handing a stage over to the next person after submissions move on

  • Rebalancing work between team members

  • Handing over everything a departing team member owns

How do I set the owner from the submissions list?

  1. Open Submissions.

  2. Filter the list to the submissions you want (optional).

  3. Tick the submissions, or select them all.

  4. Click With selected → Set owner.

  5. Choose the team member.

  6. Click Yes, set owner.

All the submissions you select must be in the same team. If they're not, you'll see Cannot set owner.

How do I set the owner of a whole stage?

  1. Open the project's Stages board.

  2. Click the three-dot menu at the top of the stage column.

  3. Choose Set owner, then the team member.

  4. Confirm. Every submission in that stage now has that owner.

To clear the owner from every submission in a stage, choose No owner in step 3.

What does the new owner see?

They get a notification saying they're now the owner of the submissions. They can find them under Owned by me in the left-hand menu.

Best practice

  • Filter first, so you only select the submissions you mean to.

  • Give the new owner a heads-up for big batches.

  • For programmes that repeat, use an Assign an owner Stage Automation instead of doing it by hand each time.
