How to Increase, Reduce or Cancel an Award in Dapple

Increase or reduce an award, record money an awardee sends back, get changes approved, and cancel or restore an award safely.

It's easy in Dapple to increase an award, reduce it, or record money an awardee has sent back. Open the awardee's submission, go to the Award tab and click Change award.

  • Every change needs a reason, and Dapple logs who made it and when.

  • If the fund has change approvers, a change can wait for their sign-off before it affects any totals.

  • You can cancel an award only while no money has gone out. After that, reduce it instead.

What kinds of change can I make to an award in Dapple?

Records unspent money the awardee sends back. It goes back into the fund's Left to award.

Use Money returned, not Reduce, when an awardee pays money back. That way the record shows the money was paid and then returned, not that it was never awarded.

How do I change an award in Dapple?

  1. Open the awardee's submission and click the Award tab. To find them from the fund, open Funding, click the fund and click the awardee in the Awards list.

  2. On the award, click Change award.

  3. Choose Increase, Reduce or Money returned.

  4. Enter the amount.

  5. Enter a reason.

  6. Save.

Write the reason for someone reading it a year from now — "Budget revised after site visit", not "Update".

What happens to the payment schedule after a change?

Changing an award changes its total, not its payments. Check the bar on the Award tab, then fix the schedule if needed:

The extra amount shows as Not scheduled. Click Edit schedule and add a payment, or raise an existing one.

Reduce

Click Edit schedule and lower or remove payments, so the schedule matches the new total.

You can't schedule more than the award. If a reduction leaves the schedule too high, Dapple won't let you save it until it fits.

How do award change approvals work?

Change approvers are people named on a fund who approve or reject changes to its awards. They're chosen under Who can approve award changes when you create the fund, and you can change them later on the fund's Settings tab. If none are named, the team's Team Managers approve.

A change that's waiting for approval doesn't affect any totals until it's approved. Once it's approved, the award, the fund and any linked budget all update. If it's rejected, nothing changes.

Where can I see an award's change history?

Every change is listed under Changes to this award on the Award tab, showing:

  • Who made the change

  • When they made it

  • The reason they gave

  • Whether it's been approved

How do I cancel or restore an award?

You can cancel an award while no money has gone out. Cancelling returns the full amount to the fund's Left to award.

Not cancel it. Use Change award to reduce it to what's been paid, and cancel the remaining payments.

To cancel just one payment, rather than the whole award, use Cancel payment from that payment's ••• menu. Its amount goes back to the award.

You can restore a cancelled award later, as long as the fund still has enough left to award.

What happens if a submission with an award changes stage?

The award stays put. When a submission with an award moves out of an awarded stage, Dapple asks: "This submission has an award of £X. Keep it or cancel it?"

  • Choose Keep if the move is admin, such as moving the submission to a Completed stage.

  • Choose Cancel only if the award has genuinely been withdrawn and no money has gone out.

Can I give the same submission another award from the same fund?

No. A submission can have only one award from each fund. To give more from the same fund, use Change award and increase it. A submission can still hold awards from several different funds — click Add award on the Award tab and choose a different fund.

Best practice

  • Write reasons your auditor would understand.

  • Use Money returned when an awardee pays money back. It keeps the record accurate.

  • Check the schedule straight after any change, so payments match the new total.

  • Name change approvers on funds where increases need sign-off.

  • Choose Keep when moving awarded submissions between stages for admin reasons.
