How to Setup a Submission Form

Forms are what a creator fills out to submit material. Here's a step by step guide on setting them up.

When you first create an Organisation, based on the industry selected, the system will automatically create a number of pre-made projects. As part of each project, a Submission Form will also have been created. The quickest way to setup forms is to use the existing forms created and tweak them to fit your own business. If you'd rather setup from scratch, use ASH AI to quickly create one for you; just give it a description and it will create one quickly.

Select a Template

  • Go to Settings: Navigate to a pre-made Project which will have been when first created when setting up your account.

  • Select Submission Form to view and customise.

  • Select the Edit to edit the existing form or Duplicate fields and edit the newly created field.

Setup a Form from Scratch using ASH AI

  • Go to Settings: Navigate to Settings on the platform

  • Select Projects and choose an existing or create a new one.

  • Select Submission Form > File > New Form

In the box provided, add a description of the submission form you'd like to create. Suggest different form fields and add as much detail as you require! Once done, select "Generate from description".

Once done, ASH will generate the form with the requested fields. Once created, you should then go and make tweaks where necessary to the different fields and maybe add some imagery or a header. The example description above (with a background image added after) created this in just a few seconds...

Example

"Create a form that includes artist name, a dropdown for age (between 18-30), a radio select option for genre's of either fiction or non-fiction. There needs to be a file upload option for docs or pdf files and a single select box to ask if they agree to our terms and conditions."

Once done, ASH will generate the form with the requested fields. Once created, you should then go and make tweaks where necessary to the different fields and maybe add some imagery or a header. Adding Fields

To add a new field to your form, select the Add Items button. There are several components you should consider adding to your form to capture all the necessary details.

The different fields you can add are:

Title

Accordion

Text

Short

Long

Date

Single

Dropdown

Checkbox

File upload

See here for more info on the different form fields. Some of the core fields you should consider adding are:

Title

Begin with a Title or Heading (such as the Project name name perhaps). Headings are also a useful way to split up or segregate different parts of your form.

Accordion

The accordion is the best way to add your Introductory message, Submission Guidelines and any Terms and Conditions.

Creator Details

It's important you request crucial contact details such as Name and Email address. You may also want to request a phone number, address, Date of Birth for example and make the fields mandatory where applicable.

File Uploads

If you require an attachment(s), give the option to upload a file. See here for more info on file type and sizes.

Terms and Conditions

Consider adding a checkbox whereby the Creator can accept Ts and Cs or adhere to any specific conditions you require. To do this select the option of "Single Checkbox"

Customising the Design

Once you have created all the desired fields, you can customise the look and feel of your form to fit in with your website or channel. Select Appearance and select the Theme or add a Header Image. See here for more info on customising the design.

If you need to use the form code to add to an existing site, select the View option and

Customise the Form Settings

You can customise some more settings by selecting Form Settings.

You can edit the settings to:

  • Change the number of submissions an individual creator can submit

  • Allow the creator to save drafts of their submission so they can finish at a later time

  • Customise the "Thank You" message a creator will see on the screen once a submission has been successfully submitted

Previewing the Form

At any point you can preview your form by selecting "Form Preview" at the top of the form.
