Why Can't I Tag a Team Member in Discussion?

The reasons a user may not appear in the dropdown list

Written by Oz Osbaldeston

If a team member doesn't appear in the @-mention dropdown in the Discuss tab, the cause is almost always permissions, account status, or the name you're typing. Work through the checks below in order — most cases resolve in under a minute. If they don't, contact support with the team member's email address.

Checklist: why a teammate might not appear

Cause

How to confirm

How to fix

They don't have a Dapple account in your workspace

Open Settings → Users. Look for their email in the list.

Invite them in Settings → Users → Add User.

Their display name differs from what you're typing

Confirm their exact name in Settings → Users.

Type their real name — even partial matches work (e.g. 'Jo' for 'Jonathan').

They don't have access to this submission's project

Check which team(s) they belong to in Settings → Users.

Add them to the team that owns the project.

They're invited but haven't accepted yet

Their row in Settings → Users shows Pending.

Wait for them to accept, or resend the invite.

They've been removed from your organisation recently

Their email no longer appears in Settings → Users.

Re-invite them with Settings → Users → Add User.

Step-by-step troubleshooting

  1. Type the team member's first name into @-mention. Wait one second for the dropdown to populate.

  2. If the dropdown is empty, open Settings → Users in a new tab. Search for their email.

  3. Confirm their status is Active (not Pending).

  4. Confirm their name in the Users list matches what you're typing.

  5. Confirm they're in a team that has access to the current project.

  6. If all of the above check out and they still don't appear, contact support.

Common patterns

  • Most often the issue is team membership. A team member added to your workspace doesn't automatically have access to every project — they need to be in the right team.

  • Pending invites are the second most common cause. New users can't be @-mentioned until they've accepted and signed in for the first time.

  • Name mismatches happen when users update their display name in their profile but you're typing their old name.

If nothing works

Contact support and include: the team member's email, the URL of the submission you're trying to tag them on, and which step in the checklist you've already tried. We'll dig in from there.
