Automations in Dapple help streamline your workflow by handling routine tasks the moment a submission reaches a specific stage. Instead of manually sending updates, changing statuses, or assigning reviewers, you can let Dapple take care of these steps automatically. This reduces repetitive work, keeps your process consistent, and saves you valuable time. Here's how to set them up:
Set Up Automations
Automations are set at a project level and for each individual stage of that Project.
Head to the Project you want to automate > Settings.
Select Stages
Choose the Stage you want to add an automation for and select the small three dots, and configure automation.
Select Add Automation.
You will then be able to select from a number of different automations:
You can add multiple automations at each stage.
Send Message
Sending a message will automatically send a message to the creator when a submission enters this stage. Common examples of usage here are informing a creator their submission has been declined or unsuccessful or updating them that it has progressed, such as to the next round of a contest. Please note that a message (and email) is automatically sent by default to a creator when a submission is first placed, and this cannot be switched off.
Select the Send Message option
Choose a template from your existing bank of templates to send. If you need to add a new template, head to your Organisation Settings > Message Templates to add a new one.
After selecting your template, choose whether you want the creator to be able to reply to this email by toggling the Allow Replies option on/off. You might want to keep this off if sending a rejection message, for example.
Select Save Action.
Assign to a User
Assigning to a user will automatically assign a selected user or a random team member to a submission. This saves time in manually bulk assigning submissions to certain users. You may want to do this for all new submissions for example so each one is assigned an owner rather than being left unassigned.
Select the Assign to User option.
Choose either the option to assign to a Random Team Member or select a specific Team Member. Selecting the random option will make sure that submissions are shared equally among your team.
Select Save Action.
Update Score
This automation will automatically set a score or add/detract an amount from the existing overall score on a submission.
Select the Update the Score option.
Choose either the option to Set Score, which will set the desired score, overriding any that already exists, Add to Score, which will add an amount onto any existing score or Subtract from Score, which will remove the number from any existing score.
Select Save Action.
Add/Remove Tag
This automation will automatically add/remove any submission tags to the submission. Please note that this does not apply to creator tags as these are already added automatically based on what has currently been added to that creator profile.
Select the option to either Add or Remove Tag.
A list of all your existing submission tags will then appear. To edit/add more tags, head to your Organisation Settings > Tags to add new ones. Choose any you'd like to add/remove to the submission.
Select Save Action.
Trigger Webhook
This automation is only available on the Pro plan. Selecting this option will create an API call which can be used for integrations. Please contact support for more info on this.
Request Feedback
This automation will automatically send any submissions that enter this stage to a review panel. Here's more info on what a review panel is and how to set them up.
Select the option to Request Feedback.
Choose from a dropdown list of any review panels that have been previously set up. This will then automatically send this submission to this group of reviewers/judges and appear in each of the reviewers' personal review accounts.
Select Save Action.
Displaying your Automations
Once your different automations have been set up, they will be displayed on each of the stages so you can see at a glance what is active.
Any stages with automations added will also display in the Stages section with a small icon. Selecting it will show any automations that have been added. Select the cog wheel to return to the settings and edit further.
