A reviewer pool in Dapple is the list of reviewers a Review Round sends submissions to automatically. You only need a reviewer pool if automating submissions to be sent to a review round when a submission reaches that stage.
To build a pool, open the Review Round's Reviewers step, turn on automatic sending and select + Add reviewer. Every submission that reaches the stage then goes to the pool, either to everyone in it or shared out between them.
Do I need a reviewer pool?
Automatic sending | Reviewer pool | How reviewers get submissions |
Off (most common) | None | You assign reviewers to submissions yourself |
On | Required | Dapple sends each submission that reaches the stage to the pool |
If you assign reviewers yourself, you don't need this article — see How to Send Submissions for Review in Dapple instead.
How do I add reviewers to a reviewer pool in Dapple?
When creating a Review Round
In Workflow & Reviews, select + Add review round on an in-progress stage.
Complete step 1 and go to step 2, Reviewers.
Turn on Send automatically when a submission reaches this stage.
Choose Chosen reviewers or Share them out.
Select + Add reviewer, search by name or email and add each person.
If you chose Share them out, set Send each submission to … reviewers from this pool.
Finish the remaining steps and select Save.
On an existing Review Round
Open Workflow & Reviews and select the Review Round's card.
Select the first General option in the left-hand menu.
Scroll down to the Reviewer pool option
Select + Add reviewer and add each person.
Select Save changes.
Who can I add to a reviewer pool?
Anyone in your organisation. Invite people who don't have an account yet first — see How to Add a User. Give external judges the Reviewer permission only, so they see their own Review Account and nothing else.
Pending reviewers: you can add people who haven't accepted their invite yet. Anything sent to them is waiting in their Review Account when they accept.
Admins and team members: add them like anyone else. They find their reviews under My Reviews in the side panel on the right.
How does the pool decide who gets each submission?
Option | What happens |
Chosen reviewers | Every submission that reaches the stage goes to everyone in the pool. |
Share them out | Dapple spreads submissions evenly across the pool. Each submission goes to the number of reviewers you set. |
For example, with 100 submissions and 5 reviewers in the pool, sending each submission to 1 reviewer gives each person 20. Set it to 2 and each reviewer gets 40, with every submission reviewed twice. Set this number to at least the round's minimum review count.
How do I remove someone from a reviewer pool?
Open the Review Round's settings, select Reviewers, remove the person and select Save changes. They won't receive any more submissions from this round.
What happens if I turn automatic sending off?
The reviewer pool is removed and nothing more is sent automatically. You assign reviewers to any further submissions yourself.
Best practice for reviewer pools
Only build a pool when submissions need to reach reviewers as they arrive, such as a rolling open call.
Invite external judges with the Reviewer permission before you add them.
Use Share them out for large pools so no one is overloaded.
Match the number of reviewers per submission to your minimum review count.
Check the Reviewers section regularly to see who's falling behind.
