How to Filter Submissions by a Form Field Answer in Dapple

Find every submission where an applicant gave a specific answer on your form — such as every film entered in the Drama genre — then save the filter or tag the results.

Written by Oz Osbaldeston

A form field filter in Dapple narrows your Submissions list to the submissions where an applicant gave a specific answer to a question on your form — for example, every film entered in the Drama genre. Select a project first, then open Filters → Form Fields → Select a field and choose the answer you want. Form field filters work inside one project at a time. To find the same answer across several projects, bulk-tag the results in each project, then filter by that tag.

How do I filter submissions by a form field in Dapple?

Pick the project, then pick the field and the answer.

  1. Open Submissions.

  2. Click Project and select the project whose form contains the question.

  3. Click Filters.

  4. Next to Filter by, choose Form Fields.

  5. Click Select a field and choose the question — e.g. Genre.

  6. Choose the answer to filter by — e.g. Drama.

The list updates to show only matching submissions, and the count above the list (e.g. "Showing 12 of 140 submissions") tells you how many matched. The field list shows the questions on that project's form only.

Form field filters stack with every other filter. Add a Stage or Tag filter on top to narrow further — for example, Drama submissions in the Shortlist stage.

Why do I have to select a project first?

Every form field belongs to one project's form. Two projects can each ask "Genre", but Dapple stores them as two separate fields, so a form field filter only searches the project you have selected.

Your situation

What to do

The question is in one project

Select that project and filter by the field.

The same question is in several projects

Filter each project in turn, or bulk-tag the results and filter by tag (see below).

You run this filter often

Save it as a View with the star icon.

How do I filter by the same answer across multiple projects?

Use a Submission Tag as the common thread. Tags are workspace-wide, so a tag applied in one project can be filtered alongside the same tag in another.

Example: you run three film awards and want every Drama entry in one list.

  1. Create a Drama Submission Tag under Settings → Organisation Settings → Tags, if it doesn't exist yet.

  2. In Submissions, select the first project and filter Form Fields → Genre → Drama.

  3. Click Select All, then With Selected → Add Tag and choose Drama.

  4. Repeat steps 2–3 for each of the other projects.

  5. Clear the Project filter and add a Submission Tags filter for Drama.

You now see Drama entries from all three projects in one list. Full steps for tagging: How to Bulk-Tag Submissions in Dapple.

How do I get back to a form field filter quickly?

Save it as a View. A saved View stores the project and form field filter together, so one click brings the list back.

  1. Apply the project and form field filter.

  2. Click the star icon in the top-right.

  3. Choose Save current view.

  4. Name it — e.g. "Film Awards – Drama".

  5. Save.

Recall it from the same star icon on any visit. Views are personal — your team won't see yours, so share the filter values if a colleague needs the same list. More detail: How to Save Submission Views.

Should I save a View or tag the submissions?

Use a View to keep returning to a live filter. Use a tag to label a group your whole team can see, or to combine projects.

Saved View

Bulk tag

Works across projects

No — one project per form field filter

Yes — filter by the tag in any project

Picks up new submissions

Yes — the filter re-runs each time

No — tag new submissions as they arrive

Visible to your team

No — Views are personal

Yes — tags show on every submission row

Best for

A list you check regularly

Grouping a cohort for review, assignment or export

Best practice

  • Use the same question wording and answer options across projects, so the filters and tags line up each cycle.

  • Create your tags before you start filtering, so the full set is ready when you bulk-tag.

  • Re-run the filter and tag again before each review round if submissions are still coming in — tags don't update themselves.

  • Name saved Views after the project and the answer ("Spring Awards – Drama") so they're easy to pick from the star menu.

  • Combine a form field filter with a Stage filter to build a precise review list, then bulk-assign it.
