Replacing a file in Dapple means swapping a file an applicant uploaded to a form field for a corrected version, directly on their submission. If an applicant sends you the right file by email or message, you don't need to reopen the form for them. Open the submission, click Edit on the Form tab, remove the old file from the upload field, upload the new one and save. The new file replaces the old one everywhere — including in the review account of any reviewer the submission has already been sent to.
How do I replace a submitted file in Dapple?
Edit the submission's form and swap the file in the original upload field. Have the correct file saved on your computer before you start.
Open the project and click the submission.
On the Form tab, click Edit (top left of the form).
Scroll to the upload field that holds the wrong file.
Click Remove next to the file.
Upload the correct file into the same field.
Click Save.
The new file now shows in the form for your whole team. Use the All Steps dropdown to jump to a specific step if the form is long.
What happens to reviewers when I replace a file?
Reviewers see the new file automatically. If the submission has already been sent to reviewers, the replacement updates in their review account as soon as you save — there's nothing to resend.
The old file is removed from the submission and is no longer visible to reviewers.
Reviewers aren't notified of the change. If someone may have already scored the old file, tell them directly.
If a reviewer has already submitted their review, consider whether they need to look again.
Should I replace the file or add a new one?
Replace the file when the original is wrong. Add a file when you want to keep the original and attach something extra alongside it.
Situation | What to do | Where |
Applicant uploaded the wrong file or an old version | Replace it | Form tab → Edit |
Applicant sent a supplementary document (e.g. an extra reference) | Add a file | Files tab → Add File |
You want to attach internal notes or a contract | Add a file with restricted visibility | Files tab → Add File |
For supplementary files and visibility settings, see Adding Files to a Submission.
Best practice
Ask the applicant to send the replacement in writing, so you have a record of what they asked you to change.
Check the new file opens and is the right version before you save.
Replace files before sending the submission to reviewers where you can.
Leave a note in the Discuss tab so your team knows the file was changed and why.
Use Add File on the Files tab — not replace — when you want to keep the original.
